Position Description:

The Coordinating Assistant, who reports to the Risk Manager, will work alongside Project Managers and Project Coordinators on various projects. The Coordinating Assistant is crucial in ensuring the smooth operation of construction projects by managing and overseeing financial and administrative tasks. This position involves coordinating with various departments to process and track project budgets, change events, purchase orders, and reconciliations. The ideal candidate will have strong attention to detail, effective communication skills, and the ability to manage multiple tasks efficiently.

Here’s What You’ll be Responsible for:
- Input project budgets into Procore based on the greensheet received from the Project Manager.
- Transfer approved budgets into Axis for procurement and accounting tasks.
- Create and manage site superintendent timesheets and 3000 PO templates for site purchases.
- Process change events including Externals (e.g., Change Orders, Allowance Disbursements) and Internals (e.g., Back charges, Budget Reallocations).
- Identify cost-only transactions and update the budget to reflect revenue and commitment changes.
- Draft and revise Purchase Orders for sub-trades and suppliers.
- Distribute PO revisions via Procore and input information into the Axis accounting system for payment processing.
- Organize and review documents related to internal issues.
- Collaborate with Project Managers and Project Coordinators to ensure issues are approved and processed efficiently.
- Perform monthly project reconciliations by pulling cost reports from Axis and Procore.
- Balance work processed within the month, correct discrepancies, and communicate findings to Project Managers.
- Prepare balanced reports for Recon meetings and assist in forecasting.
- Gather and manage documentation for various tasks related to construction project oversight.
- Provide support to project managers and teams as needed, adapting to changing project demands and requirements.
- Support the Estimating Department during tender closings, when required.

Qualification Requirements
- Well-developed skills and experience with using Microsoft Office products such as Word, Excel, Visio, Project, and PowerPoint
- Knowledge of office management systems and procedures
- Proven ability to establish profitable relationships with internal and external stakeholders
- Computer literate, including proficiency with Microsoft Office Suite, and Microsoft Project.
