Executive Assistant
Position Description:

We are currently looking for a highly skilled, caring, and safety focused individual for our team.
Reporting to the CEO of Buttcon Holdings Limited, the Executive Assistant provides high-level administrative support and ensures the CEO’s priorities and strategic objectives are met efficiently. This position requires a highly organized and proactive individual who can handle multiple responsibilities and work collaboratively across various departments while possessing discretion when handling confidential information.
Responsibility
Calendar Management:
- Manage the CEO’s calendar, schedule appointments, and coordinate meetings to optimize time and efficiency.
- Prepare and organize documents, reports, presentations, and correspondence for meetings and briefings.
- Assist in organizing board meetings, committee meetings, RLT and SET meetings.
- Set up touchpoint meetings with the CEO ahead of scheduled meetings to prepare.
- Prepare meeting agendas, minutes, resolutions, and other meeting-related documentation.
- Plan and organize executive meetings, including drafting agendas, taking meeting minutes, and following up on action items.
- Coordinate with department heads, board members, and external partners to ensure seamless communication and collaboration.
- Ensure compliance with relevant corporate laws and regulations.
- Arrange travel arrangements, accommodations, and other logistics for the CEO and visitors.
- Arrange quarterly Regional Leader meetings, including travel arrangements, itineraries and agendas, and plan an annual retreat.
- Handle correspondence, emails, and phone calls on behalf of the CEO.
- Prepare and edit presentations, reports, and other documents as required.
- Prepare messages and memos on behalf of the CEO.
- Assist the CEO with planning staff performance reviews and development plans.
- Oversee the filing and organization of important company documents and records.
- Maintain confidentiality and security of sensitive corporate information.
- Act as a liaison between the CEO and senior executives and other departments within the organization.
- Manage incoming and outgoing communications on behalf of the corporate office.
- Collaborate with HR and Business Development/Marketing to manage the CEO’s social media messaging and internal company messaging.
- Stay updated with corporate laws, regulations, and compliance requirements.
- Assist with regulatory filings and ensure timely submission to relevant authorities.
- Monitor changes in legislation that may impact the company's operations.
- Ensure that memberships are renewed and up to date.
- Participate/organize in company-wide projects, events, internal meetings and initiatives as assigned.
- Assist with planning company events including venue booking.
- Conduct research and analysis to support executive decision-making.

Qualification Requirements
- Bachelor's degree in Business Administration, Business Management, Corporate Governance, or related fields.
- Minimum 5 years of experience in an administrative or executive assistant or similar role in the ICI construction industry or equivalent.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, including minute-taking and report writing.
- Proficient in using office software and productivity tools (e.g., Microsoft Office Suite).
- Ability to handle confidential information with discretion and integrity.
- Strong interpersonal skills to interact with stakeholders at all levels.
- Detail-oriented, proactive, and capable of working independently.
Working Condition and Environment
- Primary work location in the Head Office
